Activities
Activities act as a To-Do List for Sales users and are created for each step in the Sequence. To access them, navigate to Activities in the left sidebar navigation in the application.
If you have any overdue Activities, then those will show at the top of the list in order of the most overdue. After those would be the Activities that are due today.
There are 5 Activity types:
- Manual Email
- Generic Task
- Phone Call
- Auto Email
Manual Email
For these activities, you will open the activity record and then update the content with information that is likely related to the specific Contact or company that the email is being sent to.
Once you replace the content with real information, you can send a test to yourself if you would like by clicking the Send Test Email button. When you are ready to send, click the Send button.
Generic Task
These activities can be used for whatever you would like to use them for. You will open these records, do what is listed on the task, and then close the activity.
From the Activities
Select the Activity and Action to Close Activity.
There are several LinkedIn options included by default within Click's CRM solution. Open the activity to see what you should do.
On the right side, you will see the LinkedIn Profile URL area. Click on the magnifying glass icon to search. It will search by name and company name (if an Account is set on the Contact record).
This will take you to search results on LinkedIn. Click on the correct person, and then copy the URL in the address bar.
Paste the URL in the LinkedIn box and click the Save icon.
Now, that URL will be saved to a LinkedIn field on the Contact record. The next time that you have a LinkedIn task for this person, their URL will show up here and you can press the globe button to go directly to their profile. When you click the globe button, it will also copy the text from the editor area to your clipboard.
When you are done, go back to the Activity and click the Mark Complete button at the top.
Phone Call
The Phone Call Activity is to alert you that you need to call the Contact. There are areas in the Phone Call activity record to record the information about the call and what the outcome was.
Auto Email
These will not show up in your list of Activities because they are handled automatically. These still are an Activity type, but Click's CRM hides these from the main Activities views.
All Activities
In each activity, there is an option for Sequence Action. The options are Automatic, Finish, and Skip To. This is for determining what will happen after you mark the task as complete or send the email.
- Continue Sequence: This is the default option that will simply proceed to the next step.
- Skip To: This option allows you to send this contact to a future step in the sequence instead of progressing to the next step. It will produce another drop-down field for you to choose which step to skip to. This option is disabled if this is the last activity in the Sequence.
- End Sequence: This option ends the Sequence Instance after this step. No more steps will occur. If this is the last step, then this will automatically occur and you do not need to select this value.
Each Activity has an Info tab inside that shows information about that particular Activity and information about that Contact.
The timing of each activity is based off of when the previous one is completed. For example, if the first step is a manual email and the second step is a LinkedIn task set for 3 days later, and the manual email task is completed 4 days late, then the LinkedIn task will not be created on the 3rd day. It will instead be created on the 7th day (3 days after the email task is completed).
Engagement activities across account, contacts, and opportunities can be viewed on the Activity tab within each of the records which allows users to get a quick visual snapshot of insights into their contacts and Accounts/Opportunities.
Go to Activity History. Here, you will see a chronological view of all Sales Engagement and CRM activity.
The Activity Name, Activity Type, Activity Date, and Participant are all details under the graph.
